Would you please advise if SAP DMS can support the following requirements for a hospital or should we implement open text ECM?
1) Accommodate batch scanning and indexing of documents?
2) Support versioning of documents.
3) Require check in and check out process.
4) Support document annotation and does it include electronic annotation capabilities at the document and page levels?
5) Can you print annotations?
6) Allow for batch indexing? Does it support auto-indexing.
7) Support a quality check function to ensure all content is scanned appropriately to its folder.
8) Accept COLD or electronically fed documents.
9) Bar code documents for indexing during scanning.
10) Web-based user interface.
11) Ability to create multiple databases for storage.
12) Search capabilities on all documents
13) Provide workflow capabilities for routing documents for approval or review. 14) Allow for offline or tiered storage such as hierarchical storage management (HSM).
15) Configurable retention periods.
16) Accept documents based on American National Standards Institute (ANSI)? E.g., 835/837, 270/271.
17) Support guarantor folders.
18) Scan and store online invoices, purchase orders, and other related General Financial documents.
19) Allow users to organize, store, and retrieve images of documents to support patient accounting.
20) Scan and store online HR related documents such as resumes, and appraisals? Can you secure these items.
Medical Record Imaging
1) Scan entire medical record for online viewing. Can these placed in folders defined by the organization for easy access? Index documents by: a. Patient name b. MRN c. Birth date d. Admit or discharge date e. Other (add)
2) Support scanning of photographs and EKGs.
3) Support XML, PDF and JPEG formats? What other formats can the system support to bring patient information online.
4) Rotate images (e.g. 45, 90, 180 degrees).
5) Store any/all documents that would normally be part of the paper-based patient record. Does this include a section for documents not produced by your health organization?
6) Define the folder structure so that it supports how our organization prefers to manage the medical record view and use.
7) Secure to the folder level medical records that are considered sensitive (e.g. behavioral health, diagnosed conditions such as HIV, or in the case of staff).
